I hope this message finds you well. I wanted to share a suggestion regarding communication within our homeowners association (HOA) to enhance member engagement and ensure everyone stays informed about important events and updates.

In previous HOAs we’ve been a part of, the minutes from meetings were regularly sent out to all members via email, along with any plans or announcements, which were also posted on platforms like private groups on Nextdoor and Facebook. These practices helped keep residents in the loop about community matters, fostering a sense of involvement and active participation.

Currently, it seems that we lack a similar system, as I recently discovered a community event at the nearby park after it had already taken place. It came to my attention through an online search, rather than an official channel of communication from our HOA. I believe implementing a more inclusive approach to sharing information, such as mass email updates, would greatly benefit our community.

With today’s technology, sending out regular emails to all members has become relatively simple. There are services like Mailchimp that facilitate sending emails to large groups, and I happen to have an account with them. As I often travel for work, I would be more than willing to assist in creating these emails for the HOA. If the secretary could provide me with meeting notes or any relevant information, along with exporting email addresses, I can compile and send out the updates. And use the generic ironstone email address as the address the emails come from.

By adopting a more proactive and inclusive approach to communication, I believe we can foster a stronger sense of community and encourage increased member involvement. I kindly request your consideration of these suggestions and look forward to discussing this matter further.

Thank you for your attention to this matter and for your dedicated service to our HOA.

    Sincerely,
